Partnership Activation Coordinator

GENERAL JOB DESCRIPTION:

Ensure that all elements of assigned sponsorship accounts are fulfilled using the highest level of customer service and company values. This includes all in-arena and out-of-arena promotions, special events and other sponsorship contractual obligations.

RESPONSIBILITIES

Partnership Activation Services

  • Responsible for developing and maintaining client relationships with outstanding customer service.
  • Responsible for working with clients, Partnership Sales Managers, and Partnership Associates to understand client's goals and how our resources can accomplish set goals.
  • Oversee and manage all assigned sponsor contracts to ensure that all sponsor elements are fulfilled and activated (executed).

    Sponsorship Database System( Marketline and Matryx)

  • Develop and maintain a working knowledge of the sponsorship database system (Marketline and Matryx).
  • Develop, maintain, and update sponsorship database that outlines all sponsor elements and implementation (timeline) on a consistent basis.

    Promotions Development

  • Responsible for overseeing the activation of all sponsored promotions as related to assigned accounts and as assigned by the Manager of Partnership Activation.
  • Ability to research, create, develop and implement promotions for sponsors and events.
  • Responsible for obtaining external (NBA/WNBA/NBDL/AHL) and internal approval on all contractual promotions and obligations.
  • Coordinate all sponsor media related to promotions with Manager of Partnership of Administration.
  • Ability to create radio, television and newspaper scripts.
  • Design POP, entry forms, fliers, brochures, posters and other collateral material.
  • Design and order promotional premium items.
  • Forecast, prepare, and track all sponsor promotional budgets.
  • Prepare action plan for each promotion preceding the promotion and/or event.
  • Work with Director of Game Operations and Manager of Partnership Activation to ensure all game elements for each sponsor are executed during games.
  • Responsible for providing Director of Game Operations and Manager of Partnership Activation with all in-arena sponsorship promotional elements according to internal processes, including but not limited to, on-court promotions, Lighthouse features, preliminary events, handouts and special events to insure accurate game operational inventory.
  • On-going communication with sponsor contacts, Partnership Sales Managers, and Partnership Associates for each event, promotion, and sponsorship element.
  • Maintain account status summaries for each individual promotion and/or event utilizing our sponsorship database system.
  • Responsible for completing promotional pages for end of year wrap-up books for each season for each sponsor. This includes all summaries, backup materials for each promotion (PA's, photographs, entry forms, POP, etc), signage backup, media information, and print information.
  • Maintain inventory of promotional items and props in appropriate storage rooms and keep organized at all times.
  • Distribute information sheets to all staff for all sponsor promotions and/or events.
  • Responsible for analyzing and evaluating promotions and providing a detailed summary to the Manager of Partnership Activation.
  • Ensure all assigned sponsor obligations are met at each special event.
  • Assist appropriate personnel with the operational planning, organization, and execution of event, as assigned by the Manager of Partnership Activation.
  • Assist in any additional duties assigned by the Manager of Partnership Activation.

    General Administration

  • Responsible for attending weekly meeting reviews of sponsors' contracts, departmental communication, and creative brainstorming sessions with the Manager of Partnership Activation and department colleagues.
  • Responsible for managing work productivity and available hours (40 hrs/wk) to prioritize best use of skills and communicate variance needed where necessary and assist Manager in identifying solutions to excess demands of schedules. When overtime is necessary, approval from the Manager is required.
  • Responsible for ensuring the highest level of customer service and company values at all times. This includes but not limited to: answering phones, returning emails and voicemails in a timely manner, keep updated on computer literacy, organize files, and keep an organized and neat work area.
  • Responsible for learning and developing company leadership skills and values.

    REQUIREMENTS

  • Proficient in Microsoft Office, Excel, Word, Power Point and other computer skills required.
  • Ability to prioritize multiple tasks and support multiple high level positions.
  • Must have high level of interpersonal skills to handle sensitive and confidential situations and information.
  • Demonstrate poise, tact and diplomacy.
  • Strong verbal and written communication skills required.
  • Strong teamwork aptitude required.
  • Strong customer service skills required.
  • Strong good oral and written communication skills and have the ability to work independently, and coordinate multiple tasks.
